Booking Policy – True Ascent Trekking Pvt. Ltd.
At True Ascent Trekking Pvt. Ltd., we value your trust and are committed to making your trekking journey in Nepal smooth and stress-free from the moment you book with us. Please read our booking policy carefully to understand the terms and conditions before confirming your trip. This helps us ensure a transparent and reliable travel experience for every guest.
1. Trip Reservation
To secure your spot on any trek ,we require a minimum deposit of 20% of the total trip cost at the time of booking.
The remaining balance can be paid upon arrival in Nepal, before your trek begins.
Once we receive your booking deposit, you will receive a confirmation invoice and trip details from our office.
2. Payment Methods
We offer flexible and secure payment options for your convenience:
Bank Transfer which can be made through Wise, or other secure payment methods.
Online Payment Gateway (credit/debit card)
Cash Payment (in USD, Euro, or Nepalese Rupees) upon arrival in Kathmandu
Note: Bank charges or transfer fees must be covered by the client.
3. Cancellation Policy
We understand that travel plans may change. Our cancellation terms are designed to be fair and transparent:
30 days or more before departure: Full refund of deposit (excluding transfer/bank charges).
15–29 days before departure: 50% of deposit will be refunded.
Less than 15 days before departure: Deposit is non-refundable.
However, you may reschedule your trek for a future date without losing your deposit.
4. Last-Minute Booking
We accept last-minute bookings up to 48 hours before trip departure, depending on availability. For peak trekking seasons (spring and autumn), we recommend booking at least 2–3 months in advance to secure flights, permits, and accommodation.
5. Trip Alteration or Delay
True Ascent Trekking Pvt. Ltd. reserves the right to modify the itinerary due to weather, safety concerns, flight delays, or unforeseen circumstances beyond our control.
In such cases, we will make every effort to provide an alternative of equal value.
6. Travel Insurance Requirement
For your safety, we require all trekkers to have comprehensive travel insurance covering:
Medical expenses
Emergency evacuation (including helicopter rescue)
Trip cancellation and loss of baggage
Proof of insurance must be provided before your trek begins.
7. Responsibility & Liability
True Ascent Trekking Pvt. Ltd. operates under the laws of Nepal and will always prioritize client safety.
We are not liable for injuries, accidents, natural disasters, political disturbances, or loss of personal belongings.
Clients are responsible for ensuring they are physically fit for trekking and follow the guidance of our professional guides.
8. Health & Fitness
Certain treks in Nepal reach high altitudes. Clients should consult a doctor before booking and inform us of any pre-existing medical conditions. Our guides are trained in wilderness first aid and will support you throughout the journey.
9. Passport, Visa & Permits
Clients must carry a valid passport (minimum 6 months validity) and obtain a Nepal visa (on arrival or online).
Trekking permits and national park entry fees will be arranged by True Ascent Trekking Pvt. Ltd.
10. Acceptance of Terms
By booking with True Ascent Trekking Pvt. Ltd., you acknowledge that you have read, understood, and agreed to the terms outlined in this booking policy.
