Terms and Conditions

Before booking your Nepal adventure, please review the True Ascent Trekking Terms and Conditions. We’ve kept this summary simple and easy to understand so; you know exactly what to expect:

  • Booking & Confirmation – Your trip is confirmed once we send you a written email confirmation.

  • Deposits – A minimum 15% non-refundable deposit is required to secure your Nepal trek. Tibet and Bhutan trips require 100% payment in advance.

  • Final Payment – The remaining balance can be paid in Nepal before your trek starts (cash is preferred to avoid credit card surcharges).

  • Cancellations – If you cancel, charges apply depending on the notice period. Refunds are not provided once the trip begins. For early cancellations, deposits can be held as a lifetime credit for future treks.

  • Amendments – Itineraries may change due to weather, landslides, or unforeseen circumstances. We will always provide safe alternatives.

  • Travel Insurance – Insurance is mandatory for all treks. It must cover medical emergencies, helicopter rescue, accidents, and trip cancellation.

  • Health & Fitness – Trekkers should be physically fit. Please inform us of any medical conditions before booking.

  • Visas & Documents – A valid passport (6+ months) and correct visas are your responsibility. Nepal visas are available on arrival.

  • Risks & Responsibilities – Trekking in Nepal involves natural risks (weather, altitude, flight delays). We prioritize your safety but cannot be held liable for events beyond our control.

  • Discounts – We offer group discounts, student/volunteer discounts, and special business-to-business rates.

These Terms and Conditions apply to all tours, treks, and adventure services provided by True Ascent Trekking Pvt. Ltd., a licensed company registered under the Nepal Companies Act. By booking with us, you agree to abide by the following conditions.

1. Contract Formation

1.1 A contract is formed when True Ascent Trekking confirms your booking in writing (usually by email).
1.2 By confirming a booking, both parties agree to these Terms and Conditions.
1.3 The company reserves the right to amend prices or itineraries prior to confirmation.

2. Business Partnership

2.1 True Ascent Trekking welcomes partnerships with international travel and trekking companies.
2.2 We manage your clients in Nepal, while you handle our travelers abroad.
2.3 All partnerships will operate on mutually agreed business terms.

3. Booking & Deposits

3.1 “Trip” refers to trekking, cultural tours, expeditions, climbing, sightseeing, or any product purchased from us.
3.2 A minimum 15% non-refundable deposit is required to confirm a Nepal trip.
3.3 For Tibet and Bhutan trips, 100% advance payment is required before departure.
3.4 The balance can be paid upon arrival in Nepal, before the trip briefing.

4. Payment Methods

4.1 Payments can be made via:

  • Credit Card (Visa/MasterCard) – subject to a 4% surcharge.

  • Bank Transfer – clients must cover intermediary charges.

4.2 After payment, clients must email us the remittance slip or reference number.

5. Last-Minute Bookings

5.1 Nepal trips may be booked up to 24 hours prior to departure, with full payment.
5.2 Tibet and Bhutan trips do not qualify for last-minute bookings.

6. Cancellation Policy

6.1 Cancellation by Company

  • Trips may be canceled due to natural disasters, political unrest, strikes, or safety concerns.

  • Clients may switch to an alternative trip or request a refund, subject to mutual agreement.

6.2 Cancellation by Clients

Cancellation fees apply as follows:

  • Before 3 months: 25%

  • Before 2 months: 40%

  • Before 1 month: 60%

  • Before 15 days: 70%

  • Before 7 days: 80%

  • Same day / no show: 100%

6.3 Once a trip has started, no refunds are issued for unused services.
6.4 If a Nepal trip is canceled 3 months prior, deposits may be held as a lifetime deposit for future use.

7. Trip Amendments

7.1 Itinerary changes due to weather, landslides, or flight cancellations are sometimes unavoidable.
7.2 True Ascent Trekking will provide suitable alternatives where possible.
7.3 Personal amendment requests may incur additional costs.

8. Travel Insurance

8.1 Comprehensive travel insurance is mandatory for all Himalayan trips.
8.2 Insurance must include:

  • Medical treatment

  • Emergency evacuation (including helicopter rescue)

  • Trip cancellation/curtailment

  • Accidents and personal liability

8.3 Proof of insurance must be provided before departure.

9. Health & Fitness

9.1 Clients must be in good physical condition to undertake trekking in Nepal.
9.2 Pre-existing medical conditions must be disclosed at the time of booking.
9.3 Failure to disclose health issues may result in denied participation without refund.

10. Visa & Passport

10.1 A valid passport (minimum 6 months’ validity) is required.
10.2 Nepal visas are available on arrival.
10.3 Tibet and Bhutan visas must be arranged in advance through True Ascent Trekking.
10.4 The company is not responsible for visa refusal or incorrect documentation.

11. Risks & Responsibilities

11.1 Adventure travel in Nepal carries risks, including but not limited to: altitude sickness, natural disasters, landslides, floods, and flight delays.
11.2 True Ascent Trekking takes necessary precautions but clients accept responsibility for such risks.
11.3 The company is not liable for:

  • Loss or damage of personal belongings

  • Missed international flights due to domestic delays

  • Additional expenses from itinerary changes

12. Discounts

12.1 Group Discount – 10% per person for groups of 6 or more.
12.2 Student/Volunteer Groups – special discounted rates available.
12.3 Business-to-Business Rates – customized rates for partner agencies.

13. Accommodation & Supplements

13.1 Trips are based on twin-sharing arrangements.
13.2 A single supplement applies if no partner is available or if a private room is requested.

14. Publicity

14.1 True Ascent Trekking may use photos or videos taken during the trip for promotional purposes.
14.2 Clients may opt out by informing us in writing.

15. Privacy

15.1 Personal information collected during booking will remain confidential.
15.2 Information will only be used for travel arrangements and legal requirements.

16. Dispute Settlement

16.1 Any legal disputes will be settled in Kathmandu District Court, Bagmati Province, Nepal under Nepalese law.

17. Updates

17.1 True Ascent Trekking reserves the right to update these Terms & Conditions at any time.
17.2 The latest version will always be published on our official website www.trueascenttreks.com and shall apply in all cases.
